Using FXMS

In order take part in our curricular field experience program, you will need to have an account in our Field eXperience Management System (FXMS)


Overview
  1. Request an account in FXMS.  Remember to save your credentials for future access.
  2. Complete your site profile (this is information about your institution).  Once created, you or other future supervisors will be able to use this profile for your institution.
  3. Create a project and submit. Your project will be matched with a student.
  4. Complete midpoint and final student evaluations. This form is available for you to complete for each student you host.

Complete your Site Profile

Once your account has been verified, please complete your site profile by clicking on the “Site Information” tab.  Complete all required fields and save. 

Note: if one of your colleagues has hosted for us before, your site profile may already exist.  If so, we can link you to that site in the system. It is important for every supervisor to have their own account so that they can fill out student evaluations.


Submit a Project Description

Once you have linked your account to a site, you can create a project by clicking into the ‘Project Submissions’ tab at the top of the screen. You will then fill out the form to submit your project.  We must have a project in the system in order to match you with a student.

Projects must be submitted as either an “LIS 438” Introductory Archives Project (60 hours) or “LIS 512” Advanced Project in Library and Information Science (130 hours). You will also be asked to identify the semester (e.g., Spring 2023). You are welcome to submit as many projects as you have in a given semester.

It is important to note in the project description if you have any CORI check requirements or other background checks (or an HR onboarding process). You may also indicate in any project submission if you would like to take more than one student. We also ask that you indicate the hours you can host so that we can accommodate students with only weekend and evening availability.

A student will be linked to the submitted project in FXMS if there is a “match” that semester.  The student will be instructed to reach out to you directly to introduce themselves and establish their schedule. If your submitted project does not get matched with a student, you will be notified by the Field Experience Team by email.

You can request your project description to be copied from a previous semester or submit a new project description for a future semester whenever you have a project in mind.


Complete midpoint and final student evaluations

You will receive an email from the Field Experience Team when it is time to complete the midpoint and final evaluation for your student(s). Please be sure to complete them in a timely manner, as they do factor into student assessment.

Your student’s account is tied to their full Simmons email address ([email protected]). If you cannot find your student, please ask them for their full Simmons email address (especially if their preferred name is different than the name we have on file). If this doesn’t resolve the issue, please email us at [email protected].
