AV Inventory Project

The intern will conduct a brief survey of audiovisual materials in the Academy Archives that remain unprocessed to update and clarify the existing inventory. The intern will confirm the format and physical condition of the media, noting any changes, and will coordinate with the Archives staff to confirm in which series the materials should be placed. After completing the update, the intern will begin arranging the materials based on these designations.
End products: Updated inventory of audiovisual materials that remain unprocessed (MS Excel); preliminary finding aids for unprocessed audiovisual materials, as time permits (MS Excel); transcriptions (MS Word)

Anticipated steps:
1. Review the history of the archives program, basic archival procedures and rules.
2. Review previous work on audiovisual materials.
3. Review the documentation and resources available for the internship project:
a. Extant inventory in MS Excel
b. Records Inventory Database
c. Finding aids and/or working inventories for processed/in process records containing audiovisual materials
d. Current record group structure documentation
e. JSTOR for Academy publications (particularly Proceedings and Bulletin) for information on Stated Meetings and other Academy events
4. Starting with materials located onsite, compare existing inventory (working copy) to boxes onsite, and update inventory, filling in missing information as much as possible
a. Where necessary, preserve and relabel a/v material
b. Recall boxes from offsite storage as needed.
5. Draft a plan for which series the material will be placed in
